1.2 Contract Formation
A contract is formed when:
-
a booking form or order form is submitted and accepted, or
-
an online order is placed and confirmed.
These Terms and Conditions take precedence over any terms supplied by the client or customer unless expressly agreed in writing in advance. Submission of a booking form constitutes acceptance of the applicable Classroom Adventures Terms and Conditions, regardless of any internal policies, purchase orders, or standard terms issued by the client, unless expressly agreed in writing by Classroom Adventures prior to booking.
2. Bookings and Payment
2.1 A booking is confirmed once a completed booking form has been received by Classroom Adventures. By submitting a booking form, the client confirms that they have the authority to make the booking on behalf of their organisation and agree to these Terms and Conditions.
2.2 It is the responsibility of the client to ensure that all information provided on the booking form is accurate and complete. Pricing and delivery arrangements are based on the information supplied.
2.3 If, upon arrival, Classroom Adventures staff find that the information provided is incorrect, incomplete, or that these Terms and Conditions have not been met, Classroom Adventures reserves the right to refuse or suspend delivery of the Experience Day. In such circumstances, the full fee remains payable in accordance with the cancellation policy.
2.4 Classroom Adventures reserves the right to refuse to deliver a booking where errors, omissions, or unmet requirements materially affect the safe or practical delivery of the Experience Day.
2.5 Classroom Adventures will not be bound by any terms and conditions issued by the client unless expressly agreed in writing prior to the return of the completed booking form.
2.6 The client may be invoiced at any point following receipt of the booking form. In most cases invoices are issued after delivery; however, Classroom Adventures reserves the right to require full payment in advance. Where an invoice is issued prior to delivery, payment must be received in full before the Experience Day takes place.
2.7 Payment terms and methods are detailed on the invoice. Failure to pay by the due date may result in statutory interest and recovery charges being applied in line with the Late Payment of Commercial Debts (Interest) Act 1998.
2.8 Should the client require any amendments to an invoice submitted by Classroom Adventures for the purposes of satisfying their own internal processes, for example but not limited to splitting one invoice into two or adding information such as purchase order numbers, then the original payment terms, including due date, shall stand.
2.9 Any internal administrative processes required by the client (including supplier onboarding or additional documentation) must be completed at least 14 days prior to the Experience Day. Requests made after this point may incur an administration fee and do not suspend invoice due dates.
3. Parking, Access and Set-Up
3.1 The client must provide secure, on-site parking for a transit van for the full duration of the Experience Day, including set-up and pack-down. Where this is not possible, Classroom Adventures may be unable to deliver the Experience Day and the cancellation policy will apply.
3.2 Classroom Adventures staff will typically arrive between 07:30 and 08:00 for school bookings. A named member of staff must be available to provide access, confirm parking arrangements, and direct staff to the event space.
3.3 Parking must remain available throughout the day. Classroom Adventures vehicles cannot be moved during unloading or once delivery has begun.
3.4 The client is responsible for notifying Classroom Adventures in advance of any parking or access restrictions and for completing any required actions (e.g. vehicle registration for ANPR systems). Any charges incurred, including parking or tolls, must be covered by the client.
3.5 Vehicular access is required as close as possible to the event space for unloading and reloading. Where this is not possible, the client must provide sufficient staff and equipment to assist. If safe unloading cannot be achieved, Classroom Adventures may be unable to proceed.
3.6 Step-free access between the unloading area and the event space is essential. Where lifts or ramps are required, these must be operational and available on arrival. If safe access cannot be achieved, delivery may not be possible.
3.7 Classroom Adventures requires uninterrupted access to the event space for a minimum of one hour for set-up. Delays in access may result in a delayed start time.
3.8 No other activities and no unaccompanied children (under 18) may be present in the event space during set-up. If this cannot be guaranteed, Classroom Adventures may be unable to proceed on safeguarding grounds.
3.9 Where Classroom Adventures permits delivery to proceed despite a breach of these Terms and Conditions, this shall not constitute a waiver of those terms, nor prevent Classroom Adventures from enforcing them fully at any future booking.
4. Delivery of the Experience Day
4.1 Classroom Adventures staff aim to commence delivery from 09:00. Any delays caused by restricted access or unmet conditions may result in a later start without reduction in fee.
4.2 Once set-up is complete, props and equipment must not be moved without the permission of Classroom Adventures staff.
4.3 It is the client’s responsibility to ensure that participating children are not required to leave sessions for other activities and that no conflicting bookings occur during the Experience Day.
4.4 The client must ensure that the supervising teacher(s) or responsible adult(s) remain present, attentive, and engaged with their group throughout the Experience Day.
4.5 No children may access the event space without an accompanying adult during Classroom Adventures’ occupancy. Failure to meet this requirement may result in suspension or early termination of delivery, with the full fee remaining payable.
4.6 Where the client requires the wearing of badges, stickers, lanyards, or similar identification, Classroom Adventures staff may keep such items readily available rather than worn, where necessary for safety, safeguarding, practical delivery, or protection of equipment.
5. Behaviour, Supervision and Safeguarding
5.1 Classroom Adventures Experience Days are designed to be inclusive, engaging, and safe. The safety and wellbeing of all participants is the overriding priority.
5.2 The client retains full responsibility for the supervision, behaviour management, and safeguarding of participating children at all times. Classroom Adventures staff are not the designated safeguarding lead for the client.
5.3 Any safeguarding disclosures, concerns, or incidents arising during delivery will be referred to a responsible staff member of the client, or the client’s designated safeguarding lead as soon as practically possible. Classroom Adventures staff do not investigate safeguarding matters and rely on the client’s safeguarding procedures.
5.4 A minimum of two members of the client’s staff must be present in the event space at all times. Additional staff are strongly recommended, particularly where children with additional needs are participating. The client should ensure that the client’s staff are able to be present with the children for the duration of the experience and not changed or rotated throughout.
5.5 Classroom Adventures staff may provide limited, appropriate physical assistance where necessary for the safe delivery of activities. This may include assisting with tools, costumes, equipment, positioning for roleplay or dance, or intervening to prevent immediate risk of harm. Any such contact will be proportionate, safety-led, and conducted in open view with client staff present.
5.6 Classroom Adventures staff reserve the right to pause delivery if behaviour is unsafe or disruptive. Delivery will resume once the issue has been appropriately managed by the client’s staff.
5.7 Where unsafe behaviour cannot be remedied, or where safeguarding concerns arise that cannot be adequately addressed, Classroom Adventures reserves the right to terminate delivery and leave the site. In such circumstances, the full fee remains payable.
5.8 It is the client’s responsibility to ensure that appropriate provision is in place for children with additional needs, including staffing, space, or alternative arrangements, where required.
6. Cancellations and Rescheduling
6.1 Cancellations must be made in writing by email to info@classroomadventures.co.uk. A booking is cancelled once the cancellation has been received and acknowledged.
6.2 Cancellation charges apply as follows:
-
More than 2 months’ notice: 30% of the quoted fee
-
Less than 2 months but more than 1 week: 50%
-
1 week or less: 100%
6.3 Where possible, Classroom Adventures will endeavour to accommodate requests to reschedule. This cannot be guaranteed and may be subject to administrative charges or incurred costs.
6.4 If Classroom Adventures must cancel an Experience Day, the client will be offered a suitable alternative date where possible or be entitled to not proceed with this booking with no additional penalty or fee payable.
7. Contagion and Unforeseen Circumstances (force majeure)
7.1 If a booking is affected by contagion or circumstances outside the reasonable control of either party, the client should contact Classroom Adventures as soon as possible so that appropriate options can be explored.
7.2 Where government restrictions prevent delivery, bookings may be rescheduled or substituted where appropriate. Where only the client’s internal protocols prevent delivery, standard cancellation terms apply.
7.3 The occurrence of force majeure or unforeseen circumstances does not automatically entitle the client to a refund. Where delivery is prevented, Classroom Adventures may offer rescheduling, substitution, or cancellation without penalty at its reasonable discretion.
8. Intellectual Property
8.1 Classroom Adventures retains full rights to all materials, performances, and resources. No part may be copied, edited, or distributed without prior permission.
9. Limitation of Liability
9.1 Classroom Adventures shall not be liable for any indirect or consequential loss, including but not limited to loss of income, loss of teaching time, loss of data, reputational damage, or administrative costs arising from the use of its services or products.
9.2 Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence.
