Bookings and Payment
-
Bookings are confirmed once a booking form has been received by Classroom Adventures and it is the responsibility of the person booking to ensure all information provided on the form is correct. If upon arrival to deliver a workshop Classroom Adventures staff find that the information on the booking form is not correct or that our terms and conditions (agreed to by returning the booking form) have not been met we reserve the right to not deliver an event and the client will be liable for the day as per our cancellation policy.
-
Classroom Adventures reserve the right to refuse a booking at any time in cases of errors and omissions on the the booking form or if any of the following terms are not met.
-
It is the client's responsibility to ensure that the information on the booking form is correct prior to returning it to Classroom Adventures. The amount that the organisation is invoiced is based on the information contained in the completed booking form and our most recent quote. Should the client wish to amend the details of the booking post confirmation, a charge may be levied to cover any costs incurred.
-
Classroom Adventures will not read/adhere to any terms and conditions set by the client unless this has been agreed prior to the client returning a completed booking form.
-
The client may be invoiced from any point upon receipt of the booking form. Typically the client will be invoiced after the delivery of our services. However, Classroom Adventures reserve the right to invoice prior to delivery. If invoiced prior to delivery, payment (the full amount detailed) must be received prior to the delivery of our services, otherwise Classroom Adventures may not be able to deliver said services.
-
All information needed by the client to make payment is provided on the invoice, including payment terms and bank details etc..
-
Classroom Adventures will not provide any additional information relating to the payment (such as but not limited to, completing forms set by the client, bank statements, void cheques or paying in slips), unless this has been agreed prior to the client returning a completed booking form.
-
If an invoice is not paid in full by the due date then as per the Late Payment of Commercial Debts (Interest) Act 1998, the following charges may apply:
-
Interest of 8% above the Bank of England base rate, calculated daily from the date the invoice was due.
-
In addition, the following debt recovery fee is payable:
-
£40 for invoices up to £999.99
-
£70 for invoices between £1,000 and £9,999.99
-
£100 for invoices of £10,000 or more
-
-
-
It is the client's responsibility to ensure that any "in-house" administrative processes (i.e. new supplier forms) are submitted to Classroom Adventures at least 14 days before the event date (or first date of an event if an event is multiple days). Any such forms or processes submitted less that 14 days before the event date will be treated as in point 10 in this section.
-
If an invoice is issued after a booking has been completed and Classroom Adventures have delivered the event, the client is obliged to pay the invoice by the due date. Any paperwork, forms or processes (not exhaustive) required by the client of Classroom Adventures once an invoice is raised will incur a £25 administration fee. In this case the due date still stands and is not suspended or postponed in any way by the clients own administrative processes.
Parking and Set Up
-
The client is to provide secure (fenced) on-site (on the same plot of land as the event space) parking, either in a car park or on the playground, for a transit van. If this condition is not able to be met, then Classroom Adventures will not be able to deliver the event and our cancellation policy will apply.
-
Classroom Adventures staff aim to arrive at the event space 1 - 1 1/2 hours before the event. For school bookings we will aim to arrive by 07:30 (but no later than 08:00). If the main point of contact is not available at that time then another member of the client's staff should be nominated to greet us at the above time. This nominated member of staff should be made aware of parking arrangements and where the events space(s) is to expedite the process.
-
Parking should be available for the duration of the Classroom Adventures event, including set up and packing away time (typically 07:30 - 16:30). Classroom Adventures staff will not be able to move any vehicles between the commencement and end of any event.
-
It is the clients responsibility to firstly notify Classroom Adventures of any parking restrictions that they may have i.e. height, width, length etc., secondly obtain any required information from us prior to our arrival (i.e. vehicle registration details etc.), and thirdly complete any actions necessary prior to our arrival (i.e. register our vehicle on an ANPR database, pay for any tolls or charges that will be incurred for Classroom Adventures to access the event space. Please note that currently our van is 2.1m high and 5.1m long, though this may be subject to change by your booking date. Failure to notify Classroom Adventures of any restrictions may result in Classroom Adventures not being able to deliver the event
-
Any charges incurred in order to provide an event, such as parking charges, need to be covered by the client.
-
Vehicular access will be required as close to the event space (i.e. the hall for history experience days and the classroom for Toy Making Experience Days) as possible for the purposes of unloading and reloading. The loading are must be on-site and secure. If not, at least one member of staff will be required to stand next to the Classroom Adventures vehicle for the duration of unloading and reloading, for the purposes of safe guarding. If Classroom Adventures staff are unable to park and unload next to the event space the client should provide members of staff to assist with unloading and transportation of props and equipment to the event space. If neither of these conditions are met, then either Classroom Adventures may not be able to deliver the event and our cancellation policy will apply or an additional charge may be levied.
-
Level, step-free access is essential between the unloading area and the event space. If the event space is not on ground floor level, then the client must have a working lift available to transport props and equipment. If there is the occaisional step and you, the client, are in possession of temporary/portable ramps then these must be either in place or accessible with an appropriate member of staff (usually a care taker or equivalent) pready for our arrival. If none of these conditions are met, then Classroom Adventures may not be able to deliver the event and our cancellation policy will apply.
-
If staff are required, as per the conditions above (point 6 & 7), they should be available at both the beginning and the end of the event. If staff are required based on these points but are not made available at either the beginning or the end of the day then a surcharge of £50 may be levied.
-
Classroom Adventures staff require at least one hour to set up an event. Any delay in providing uninterrupted access to the event space may incur a delay to the event start time.
-
There should be no other activities being held in the event space and no unaccompanied children (persons under 18 years of age). If this condition is not met then Classroom Adventures may not be able to set up and therefore possibly not deliver the event, in which case the full cost of the event is payable.
-
If the client cannot guarantee that there will be no unaccompanied children in the event space (i.e. free roaming children with Special Educational Needs and/or Disabilities) then Classroom Adventures will not be able to deliver the event on the grounds of safeguarding children and its staff/representatives, in which case, the full cost of the event is payable.
-
Before the event starts, the main point of contact for the event should make themselves available to Classroom Adventures' staff to discuss and confirm the agenda, timings and requirements for the event.
-

-
If Classroom Adventures staff arrive at the event location by 09:00 then the full amount quoted will be payable.
-
If Classroom Adventures staff arrive after 09:00 then, either an appropriate discount will be offered to the client, or an alternative day will be offered if it is no longer practical to provide the event.
-
-
At the end of the working day the school should do everything they can to ensure that Classroom Adventures staff are able to leave as soon as they have finished packing up. If Classroom Adventures staff are restricted from leaving the premises then then Classroom Adventures reserve the right to add the following charges on to the invoice.
-
If Classroom Adventures staff are restricted for leaving for more then 10 minutes then a £50 fee will be added.
-
If Classroom Adventures staff are restricted for leaving for more then 30 minutes then a £100 fee will be added.
-
The Experience Day
-
Classroom Adventures staff will be prepared for the experience day to commence from 09:00. Any delays incurred in set up may incur a later start time.
-
It is the clients responsibility to notify Classroom Adventures staff of any restrictions to the event space (i.e. the hall being used for lunch) prior to the day of the event, as this may impact on the day, the content and the order that the content is provided.
-
Once Classroom Adventures' staff have completed the set up for the event then any props and equipment can not be moved until the end of the event.
-
It is the clients responsibility to ensure that there will be no requirements placed upon participating children to be elsewhere or for additional study.
-
It is the clients responsibility to ensure that there will be no other bookings or activities that clash with the delivery of the Classroom Adventures experience day i.e. fire drills etc.
-
The client is advised that the main supervisory adult responsible for the group of participating children (i.e. the class teacher(s)) should be present and attentive with their group (i.e. their class) for the duration of the experience day.
-
No children (under 18 years of age) should be allowed to access the event space during Classroom Adventures' occupancy of the area without an adult member of of staff. If this condition is not met then Classroom Adventures may refuse to deliver the event or finish the event premeturly, in which case the full cost is payable.
Expectations of behaviour
-
Classroom Adventures events aim to be fully inclusive, fun and above all safe. It is imperative that all participants attending a Classroom Adventures event behave in an acceptable and safe manner as deemed by the Classroom Adventures staff. The ultimate priority of Classroom Adventures is for the experience of the group as a whole.
-
At least two members of staff, representative of the client must be present, in the event space, at all times during a Classroom Adventures event. It is Classroom Adventures' recommendation that the client ensures that at least three or more adults are present for contingency. It is the responsibility of all members of staff representing the client to ensure that the behaviour of participants is acceptable.
-
Classroom Adventures staff reserve the right to pause and/or stop an event if the behaviour of one or more individuals is deemed unsafe or inappropriate. Classroom Adventures staff may refuse to continue the event until the unsafe/inappropriate behaviour is dealt with appropriately by a member of staff representative of the client.
-
If Classroom Adventures' staff feel that any unsafe/inappropriate behaviour of participants has not been remidied then they reserve the right to end the event at that point, pack away all equipment and leave the site immediately. In this situation the full fee of the event is payable.
-
It is the clients responsibility to plan how to manage the needs of any children with additional needs, whether making sure that there are additional adults/members of staff to support, having a break-away space or any other provision that might be necessary or beneficial, as long as this does not impede on the experience of the group as a whole.
Cancellations and Refunds
-
To cancel a booking the client must email Classroom Adventures directly via info@classroomadventures.co.uk. A booking is cancelled when an email is both received and acknowledged by Classroom Adventures.
-
Once a booking is confirmed, then should the client need to cancel, for any reason, the following charges will apply.
-
More than 2 months notice – 30% of your quoted price will be payable
-
Less than 2 months, but more than 1 week notice - 50% of your quoted price will be payable
-
1 week or less notice – 100% of your quoted price will be payable
-
-
If the client needs to reschedule a confirmed booking Classroom Adventures will always try to accommodate a new requested date. However, Classroom Adventures accepts no responsibility if no suitable alternative date can be found. If the client needs to reschedule a booking and the original booking is more than 2 months in the future this can be done with no charge as long as the new booking date is in the same term as, or prior to, the original booked date and no costs have been incurred by Classroom Adventures. If the client needs to reschedule a booking and the original booking is less than 2 months in the future then the terms of the above cancellation policy (as in point 2) may apply.
-
If a client wishes to reschedule a booked event they must complete a "booking amendment form". The booking amendment form must be received by Classroom Adventures before the original date of the booked event. The original date of the booked event will stand, and all terms herein be pertinent to, until a booking amendment form is received by Classroom Adventures.

-
If the client needs to reschedule and Classroom Adventures has incurred costs, such as for accommodation, then these costs will either be added to the invoice, or raised in a new invoice if the original invoice has already been settled.
-
If for any reason, a confirmed event needs to be cancelled by Classroom Adventures then the client will be contacted as soon as possible, and the event will be rescheduled for a suitable date. If a booking as been refused, whether confirmed or otherwise, due to errors or ommissions (as in point 2 of Bookings and Payments) no alternative date will be offered.
-
If an event is cancelled due to unscheduled closures for example in poor weather conditions then the above cancellation terms (as in point 2) may apply.
Contagion
-
If the client decides that they are no longer able to continue with a Classroom Adventures booking due to contagion (i.e. COVID-19) then they should contact Classroom Adventures in the first instance.
-
If the decision to cancel a booking is out of the control of the client or Classroom Adventures (for example due to a change in government protocols like school closures) then an alternative date in the future can be arranged or a booking can be replaced with a DIY School Pack. However if it is the client's organisation's protocols that change, and government protocols still permit Classroom Adventures to visit schools, then the above cancellation policy applies.
-
Clients are requested to contact Classroom Adventures if any perceived potential hinderances to the event develop as soon as possible so that an appropriate solution can be devised.
-
Clients should communicate their organisation's protocols on any contagion (i.e. COVID-19) with Classroom Adventures at the time of booking so any possible alterations to the event can be worked out. Should a client fail to do this then Classroom Adventures shall assume that their safety protocols shall be sufficient.
-
Should the client wish Classroom Adventures' staff to take any contagion diagnostic test(s) (i.e. COVID-19 lateral flow test) on or prior to the day of the event, then Classroom Adventures staff will be happy to oblige. However, if a positive result is obtained and the client wishes to cancel the event then the above cancellation policy may apply. Any costs incurred for test kits will either be added to the invoice, or raised in a new invoice if the original invoice has already been settled.

Classroom Adventures reserves the right to refuse entry to any member of public, or ask them to leave our allocated area if they refuse to abide by any rules laid out or act in any way that is of a rude, aggressive or unsavoury manner. The Client agrees to support Classroom Adventures in any decisions made in this regard.
Cancellations and Refunds
-
To cancel a booking the client must email Classroom Adventures directly via info@classroomadventures.co.uk.
-
Once a booking is confirmed, then should the client need to cancel, for any reason, the following charges will apply.
-
More than 2 months’ notice – 30% of your quoted price will be payable
-
Less than 2 months, but more than 1 week notice - 50% of your quoted price will be payable
-
1 week or less notice – 100% of your quoted price will be payable
-
-
If the client cancels a booking any deposit paid to Classroom Adventures is non-refundable.
-
If for any reason, the performance needs to be cancelled by Classroom Adventures then the client will be contacted as soon as possible, and if suitable the event will be rescheduled for a suitable date.
-
If an event is cancelled due to unscheduled closures for example in poor weather conditions, or the client decides to cancel an event after a booking has been confirmed then the above cancellation terms (as in point 2) may apply.
Contagion
-
If the client decides that they are no longer able to continue with a Classroom Adventures booking due to contagion (i.e. COVID-19) then they should contact Classroom Adventures in the first instance.
-
If the decision to cancel a booking is out of the control of the client or Classroom Adventures (for example due to a change in government protocols like nationwide lockdowns) then an alternative date in the future can be arranged if possible. However if it is the client's organisation's protocols that change, and government protocols still permit Classroom Adventures to deliver events/performances, then the above cancellation policy applies.
-
Clients are requested to contact Classroom Adventures if any perceived potential hinderances to the event develop as soon as possible so that an appropriate solution can be devised.
-
Clients should communicate their organisation's protocols on any contagion (i.e. COVID-19) with Classroom Adventures at the time of booking so any possible alterations to the event can be worked out. Should a client fail to do this then Classroom Adventures shall assume that their safety protocols shall be sufficient.
-
Should the client wish Classroom Adventures' adult staff to take any contagion diagnostic test(s) (i.e.
